Publishing information

Press and Public Relations, which is part of University Communications and Marketing, is the first point of contact for journalists with any questions about the University. The team communicates topics relating to research, teaching, and the university community to the public and the media.?

If you are a researcher or a member of staff who would like to publicize a topic, our team will be happy to advise you. To help us plan communication activities strategically, you should consider a few questions in advance:

  • What is the topic?
  • Who is your message of interest to?
  • What specifically do you want to achieve??

When assessing whether a topic is of interest to the media or other target groups, and whether it can be presented in a media-friendly manner, we adhere to journalistic standards and the German Association for University Communication's guidelines on good science communicationExternal link (German only).

How does my topic reach the media?

  • What topics are suitable for a press release?

    We decide on the selection of topics based on defined criteria: The most important criterion that must be met is the news value of a topic. The most important factors here are topicality and relevance for a large group of people, as well as other news factors (e.g. practical value, entertainment value) that can spark the interest of your target group. In addition to these general criteria, we base our selection of topics for university communications on the University's strategic goals and research priorities. We also focus on topics that are suitable for raising the profile of Jena as a centre of research and study both nationally and internationally.

    We use a variety of formats and channels to communicate your topic in a way that is tailored to your target group and generates the greatest possible response. In addition to traditional press releases, these include the University's websites and social media channels, the events calendar and the Internal News.?

  • When and how should you inform inform the press team about suitable topics?

    The earlier you involve us in the communication surrounding your topic, the more effectively we can support you. Please send us your suggested topic by e-mail to presse@uni-jena.de.

  • What should a press release include?

    In order to attract the interest of journalists and generate media response, a press release must answer the six Ws: Who? What? When? Where? How? Why? Specifically, you should answer the following questions in your topic proposal to us:

    • What is your research work/publication/collaboration or award about?
    • What is new/current/unique/special about it?
    • What are the key findings or insights, or what achievement is being recognized?
    • Who are the findings relevant to? (What practical applications could result from them? Are the findings relevant to everyday life?)
    • Was there any external funding? By whom/which institution?
    • Which cooperation partners are involved? Are there any agreements with the partners that need to be taken into account?
    • For publications:
      • Has a publication date already been set?
      • Are there any embargoes on the part of the journal that need to be taken into account?
      • Do you already have a link/DOI for your publication?
    • ?For awards:
      • When, where and by whom will the award be presented?
      • Is the award endowed?

    In addition, impactful, professional images increase the resonance of a press release. Images are also indispensable for online reporting and social media work. Please consider which photo motifs could illustrate your topic and which image material you can provide us with. Upon request and with sufficient advance notice, the photography team of University Communications and Marketing will be happy to assist you and take professional photos.

    Suitable subjects include photos of people in a typical work situation relevant to the topic, such as in a laboratory, a teaching situation, conducting field research, with experimental setups or work equipment. Microscopic images and meaningful illustrations of objects under investigation are also suitable. Not suitable are group photos, diagrams, logos, illustrations from scientific publications or text-heavy infographics.

Ordering and using photographs

  • Your projects in pictures

    Pictures are indispensable for the media. Expressive, original photos of technically and aesthetically high quality significantly increase the media resonance of press releases. As part of our press work, we illustrate research and teaching topics in photographs. The Staff Unit Press and Public Relations also provides images for university publications such as the university magazine.

  • Photo requests

    The photographers of University Communications and Marketing cover appointments for the University's public relations work and produce science photos as well as illustrations for press releases and for current projects of University Communications and Marketing.

    Events (conferences, congresses, meetings) of the institutes, faculties and departments cannot be photographed. If you require images for your own projects, e.g. team and portrait photos to illustrate your publications and for social media posts as well as for your website, we can help you find external photographers. The costs incurred are to be borne by the client.

  • Preparation for the photo shoot

    Before the photo shoot begins, the time frame, the content and photographic objectives as well as the intended use should be discussed. Please check in advance what options you have in terms of your clothing and in the choice of location to influence the design of the photo shoot. Depending on the type and scope of the assignment, a photo shoot can also take several hours. Therefore, please allow sufficient time and agree on a schedule with the photographer to avoid downtime.

    Data protection consent form

    Before each photo shoot, it must be ensured that the persons depicted agree to the publication of the images and consent to the respective forms of use by the University of Jena. Before the photo shoot begins, it is therefore essential that the client provides the photographer with a declaration of consent from the persons to be photographed in accordance with data protection law. Particular attention should be paid to the use of the photos in social media. If the data protection consent form is not available at the start of the shoot, the photos cannot be taken.

  • Right to use photographs

    The photographs in the image database CantoExternal linkde?are protected by copyright and are not meant for private use.

    The registered users are not given any exclusive right, but the simple limited rights to use photographs with regard to context, time, and content. These rights refer to the printed publications of the University and for the purpose of the University's website. The right of use cannot be transferred to third parties. Any notes and restrictions in the accompanying image information (caption) regarding the type and location of use must be strictly observed.

    The photos must be clearly and unmistakably marked with the copyright notice specified in the metadata or caption. If this is not apparent, the wording Photo: University of Jena must be added. Any editing, modification or redesign of the image material that goes beyond scaling, contrast or colour enhancement, as well as the use of the photos in social media, online databases or similar, requires additional written permission from our photographer.?Please send an e-mail to presse@uni-jena.de.If the users do not use the photographs anymore, they must delete them from their electronic storage devices within a month.

    The image material provided, in particular that in which persons are recognizable, may only be used in the context of the accompanying text in terms of time and content. Images and text may not be distorted or falsified. The accompanying information provided in the metadata (e.g. image description, keyword list) corresponds to the time at which the data set was created. No guarantee is given for the accuracy or timeliness of this information.

    The consent granted by the image agency for the use of the image material does not include the transfer of rights or assurance that the persons depicted or the owners of the rights to the works depicted or the owners of trademarks or other property rights have given their consent to publication. It is the responsibility of the registered user to obtain the necessary consent from third parties in individual cases. When using the material, the user must observe the personal rights, copyrights, trademark rights and other property rights of the persons, works and objects depicted. In accordance with the section 23 of the german Act on Copyright related to the Works of Art and Photography (Gesetz betreffend das Urheberrecht an Werken der bildenden Künste und der Philosophie, KunstUrhG), the consent of the persons depicted is not required if they are not the main subject of the image or if they are persons of contemporary history or part of a public gathering/event.

    In the event of unauthorised use, duplication, modification, editing, redesign, distribution or storage of the image material, failure to observe the copyright notice or any other unlawful use of the image material, the user shall indemnify University Communications and Marketing, as the operator of the Canto image database marketing catalogue, against all claims by third parties arising from such use.

Media training and consulting

  • Media training

    We offer various media training courses for members of Friedrich Schiller University, not only from the academic community. These can be taken by a group or an individual. The duration of the training courses varies and can be adapted to your time frame; however, you should allow at least 30 minutes, preferably an hour, and the training should not take place on the day of the interview with the journalists.

    We will inform you about media relations at the University of Jena and how to deal with journalists. We offer interview training. It is also possible to conduct extensive camera training together with TV professionals. Various interview situations are rehearsed in front of the camera, recorded and then analysed together. There is a charge for this extended camera training.

  • Writing for the public

    As part of a group training course, we teach the theoretical basics of what makes a good press release, what rules they follow, how to achieve the greatest possible response, and what other options are available for communicating scientific topics to the public.
